Sleep Consultancy Terms of Business

Dear Parents, 

Welcome to Calm Tots and thank you for choosing us to assist you with your sleep challenges. By agreeing to work with Calm Tots you are agreeing in full to our terms and conditions of business.


Our Services: 

Calm Tots offers advice to clients on sleep and routines for their children. Our services are designed to assist and guide you, but we cannot provide medical diagnoses or substitute professional medical advice. If you have any concerns about your child's health, we strongly recommend consulting with your GP or a qualified healthcare practitioner as soon as possible.  

Calm Tots provides sleep guidance and support, but we cannot guarantee specific sleep outcomes or timelines for your child. We are not responsible or liable for the results of your child's sleep.  We do not take responsibility for any sleep relapse after the support package has finished and no refund will be offered. 

Whilst we strive to help your child establish healthy sleep patterns, it's important to remember that every child is different. What works for one child may not work for another. We offer personalised strategies, tailored to your child's specific sleep challenges, helping you navigate the journey to better sleep. 

Our goal is to empower you as parents, providing you with the knowledge and tools to support your child's sleep development. We encourage open and honest communication throughout the consultation process, as your feedback is invaluable in achieving the best results for your family. 

Once we have received your 3-day sleep diary and family questionnaire, we will schedule a 1-hour consultation within 48 hours (Monday – Friday). After this you will receive a bespoke sleep plan.  Our sleep packages come with WhatsApp support Monday to Friday 9am – 5 pm, we will get back to you as soon as possible but this may take 3/4 hours if we are with other clients. We offer a weekly check in call of 20 minutes at the end of each week.  

Your personalised sleep plan must not be shared with any third party – this plan has been specifically designed for your unique needs. Clients may not share or reproduce, distribute, or modify any material provided by Calm Tots without prior written consent.

We respect the confidentiality of our clients' information. All personal and sensitive details shared during the consultation will be kept strictly confidential, except where required by law or with the client's explicit consent. We have a duty of care to report any relevant issues of care to the appropriate service in your area.  


Client’s Responsibilities:  

It is the client's responsibility to provide accurate, complete, honest and up to date information regarding their sleep concerns, medical history, and any relevant details that may impact the consultation process. 

We are here to advise you and this advice is given based on training and experience. We will advise you as to possible sleep training techniques that we think will work best for you.  However, it is down to you to decide whether you implement these suggestions or not.  

By agreeing to work with Calm Tots you agreed to adhere to safe sleep guidelines as laid out by the Lullaby Trust – please visit before commencing training. All advice is given with the understanding that you are adhering fully to these guidelines.  

Refund Policy for Sleep Consultancy Services: 

  1. Full Refund: Clients are eligible for a full refund of the consultation fee if a cancellation request is received at least 48 hours before the scheduled consultation. The refund will be processed using the original payment method. 

  2. Change of Consultation Date: Clients may request to change the date of their consultation without incurring any additional charges, provided that the request is made at least 48 hours prior to the scheduled consultation. 

  3. Late Cancellation Fee: If a client cancels the consultation within 48 hours of the scheduled time, a late cancellation fee will apply. This fee amounts to 50% of the consultation fee and will be deducted from the refund or charged separately if payment has already been made. 

  4. Rescheduling with Less Than 48 Hours' Notice: If a client wishes to reschedule the consultation within 48 hours of the scheduled time, the late cancellation fee mentioned above will apply. The remaining 50% of the consultation fee will be required to secure the new consultation date. 

  5. No-Show Policy: If a client fails to attend the scheduled consultation without prior notice or contact, no refund will be provided, and rescheduling will be subject to availability. 

  6. Refund Processing: Refunds, if applicable, will be processed within a reasonable timeframe after the cancellation request is received. Please allow for standard processing times of your payment provider. 

It is important to note that our refund policy is designed to ensure fairness and maintain our commitment to providing quality services. By booking a consultation, you acknowledge and agree to abide by these refund policies.

If you have any questions or require further clarification, please contact us directly. 

Calm Tots cancellations: 

Should Calm Tots need to cancel an appointment the next available appointment that is convenient for both parties will be offered.  If after receiving all your documentation we feel that we are not aligned in our viewpoint and would not work well together we would provide a full refund and where possible, try to recommend another consultant. We reserve the right not to proceed with the consultation if the child has any underlying health conditions.


Feedback and Complaints:  

We value feedback from our clients and strive to continuously improve our services. Should a client have any concerns or complaints, we encourage them to communicate with us directly, and we will address the matter promptly and professionally. 

Calm Tots will not be held liable for any direct or indirect damages, losses, or injuries arising from the use of the services or recommendations provided.  

Please carefully review these terms of business before engaging our sleep consultancy services. By proceeding with the consultation, you indicate your understanding and acceptance of these terms.
